2. Principle: data minimisation
This website is built so that merely visiting it generates as little data as possible: no cookies, no analytics or advertising services, no content loaded automatically from third-party servers. We process personal data only when you actively send us a request (section 6). All connections are encrypted via TLS (HTTPS).
3. Hosting and server log data
This website is delivered via Cloudflare Workers (Cloudflare Inc., 101 Townsend St., San Francisco, CA 94107, USA; European representative: Cloudflare Germany GmbH). When you access the site, Cloudflare processes technically necessary access data (including IP address, date and time, page requested, browser type) in order to deliver the site, fend off attacks and ensure security. We ourselves do not analyse these log data and keep no visitor logs of our own.
A data processing agreement is in place with Cloudflare (Art. 28 GDPR, Cloudflare Data Processing Addendum). Where data are transferred to the USA, this is based on the EU-US Data Privacy Framework, under which Cloudflare is certified, and on the EU Standard Contractual Clauses. The legal basis for the processing is Art. 6 (1) (f) GDPR (legitimate interest in the secure, stable and fast operation of the website).
4. Fonts and media
All fonts, images, videos and documents (e.g. the rental catalogue as a PDF) are hosted on our own hosting. There is no connection to Google Fonts, YouTube, map services or other third-party providers; no personal data are transferred to such third parties when you view the site.
5. Cart (stored in your browser only)
When you add items to the cart in the rental catalogue, your browser remembers this selection in what is known as local storage – exclusively on your device. Only the items, the selected set and the quantity are stored, no personal data. This storage is technically necessary for the function you have requested (compiling a selection and sending it as a request) to work; it therefore does not require consent (§ 25 (2) no. 2 TDDDG – German Telecommunications Digital Services Data Protection Act). The selection is only transmitted to us when you deliberately send it as part of a request (section 6). You can delete the selection in the cart at any time or remove the website data in your browser.
The same applies to the watch list (flag icon on the product cards): your browser only stores the identifiers of the items you have marked, no personal data. The watch list is never transmitted to us; you can remove entries at any time using the flag icon.
6. Rental and purchase requests via the form, by e-mail, phone or WhatsApp
When you send a request via the request form (rental request or purchase request), the data you enter (name, company if applicable, e-mail address and/or phone number, billing address, delivery or collection including venue and delivery address, occasion, number of guests, dates or delivery date, your message and the selected items) are transmitted to our server over an encrypted connection (TLS). This server runs as a Cloudflare Worker with the hosting provider named in section 3. From there, the data are stored in our rental and quotation system Eventworx, in which we handle requests, quotes and orders. The provider of this system is Event Worx UG, Am Studio 2a, 12489 Berlin, Germany; a data processing agreement under Art. 28 GDPR is in place with them. The processing takes place in Germany.
The purpose of the processing is to handle your non-binding request and to prepare a quote. The legal basis is Art. 6 (1) (b) GDPR (pre-contractual measures taken at your request). The only mandatory details are your name, one way of contacting you (e-mail address or phone number) and, for rental requests, the dates; all other details are voluntary. No cookies are set, the data are not passed on to any other third parties and are not used for advertising or newsletters.
Protection against misuse: to fend off automated mass requests, our server briefly processes your IP address when you submit the form, solely to limit the number of requests per connection. The IP address is neither stored permanently nor passed on to the rental management system nor linked to your request. The legal basis is Art. 6 (1) (f) GDPR (legitimate interest in protecting our systems against misuse).
If our server is temporarily unavailable, the form instead opens your own e-mail client with the prepared request text – the request then reaches us as an ordinary e-mail that you send yourself. When you contact us directly by e-mail, phone or WhatsApp, we process the data you provide for the same purpose and on the same legal basis; such requests are also transferred into the rental and quotation system named above for processing.
WhatsApp links on this site are plain references: only when you click such a link does WhatsApp (WhatsApp Ireland Ltd.) open, and WhatsApp's privacy policy then applies. No data flow to WhatsApp while you merely view the site.
Retention period: we store request data until the request has been dealt with. If no contract is concluded, we delete them as soon as they are no longer required for processing. If a contract is concluded, we keep the documents (quote, order, invoice) for the retention periods required under German commercial and tax law (HGB/AO, currently up to ten years).
7. Links to external websites
This website links to our Google Business Profile (Google Ireland Ltd.) and to the website of DJ René Braun. These links are only opened when you click them; only then does the privacy policy of the respective provider apply. No data are transferred to these providers while you view our site.
8. Your rights
You have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection (Art. 21 GDPR), as well as the right to withdraw any consent given at any time. To exercise your rights, an informal message tomail@beatsystems.de is sufficient.
You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia (Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen, LDI NRW), Kavalleriestraße 2–4, 40213 Düsseldorf, Germany.
9. Changes
We will update this policy as soon as the data processing on this website changes – for example when a new service is integrated. New services are only used after they have been reviewed and this policy has been amended.
